AEM-ACC Error Codes

Issue

When a schedule fails to transfer, ACC's system will return an error code.  

This error code should have an explanation as to what the problem is.  

Although Gensolve does not have access to all the error codes possible, the list below provides an explanation for the most common errors so as to assist you with a resolution.

If you are unable to resolve the issue, in all cases please contact ACC and describe the error so they can give the best advice.

Solution

Below are a few of the commonly occurring error messages that ACC will send along with an explanation of their meaning.

ACC ERROR

Error: ACC is unable to process your request at this time. Please try again later or contact ACC for Assistance

DESCRIPTION

The ACC e-business site is down.  We recommend that you try again later or contact ACC for assistance

EXAMPLE

ACC ERROR

Error: Company not registered at ACC

DESCRIPTION

The Company number for this schedule is not known to ACC.  

Generally this occurs with new Companyes where the e-business system doesn't know about the provider yet.

This error may also occur when the Company number has been entered incorrectly.

Please verify with ACC what the Company number should be  and ensure it is entered correctly in AEM in the Clinicians contract settings.

 Error:  /eSchedule/Schedule/eFormCompany/Company_acc_identifier Company not registered at ACC

ACC ERROR

Error: Fatal:

DESCRIPTION

This is generally when the ACC ebusiness applet is not working correctly.  Always contact ACC for assistance.

EXAMPLE

Fatal:  Response from Server is null.  Could be most likely a connection exception.  Check logs for details

The transfer failed due to a software issue with ACC applet reading the data.  Often this happens when there is a problem with the internet, try submitting a new schedule. If the same error occurs call ACC.

Fatal:  A system error has occurred.  Please refer to the logs for more information.

This transfer failed due to an ACC software issue.  Call ACC to check if they are having a problem with submitting schedules online.

ACC ERROR

Error Code 1

DESCRIPTION

A mandatory field is not filled in.  Check the value specified and adjust as required.

EXAMPLE

1:  /eSchedule/Schedule/eFormCompany/Company_acc_identifier Mandatory field empty:  This field is mandatory and must be present

This is saying the schedule has no ACC Company number.  Check the clinicians details and contract settings.

ACC ERROR

Error Code 2

DESCRIPTION

A fields maximum length was exceeded. Check the specified value and adjust as required.

EXAMPLE

2:  /eSchedule/Schedule/ScheduleLine[1]/eFormClaimant/national_health_index Field Length exceeded: Data in this field exceeds maximum length allowed: ABC12345

This schedule's first item has a client whose NHI number is too long, ABC12345.  Check the clients NHI number and adjust.

ACC ERROR

Error Code 3

DESCRIPTION

A date has failed validation.  Generally the clients birth date is dated after today.  Check the date specified and adjust.

NB:  There are many more errors similar to "Error Code 3", where the description and problem data are explained, so please read the error carefully, if in doubt we recommend you call ACC.

EXAMPLE

3: /Schedule/ScheduleLine[2]/eFormClaimant/claimant_date_of_birth Claimant date of birth must be on or before today: 07/09/2019

The birthday of the client for the 2nd item in the schedule needs to be adjusted to be on or before today, as it is currently set to 07/09/2019.

ACC ERROR

Error Code 4

DESCRIPTION

The ACC Claim number is invalid.  Adjust as required.

EXAMPLE

4:  /Schedule/ScheduleLine[57]/ScheduleLineClaim/medical_fees_number Invalid claim number: **NZ00294**

Schedule item 57 has the ACC Claim number **NZ00294**, which is invalid, remove the ** from the conditions Claim number field.

ACC ERROR

Error Code 5

DESCRIPTION

A schedule already exists with the same schedule number for that Company ID.  

EXAMPLE

5:  /Schedule/ScheduleHeader/eFormSchedule.schedule_number A schedule already exists with the same schedule number: 140520A001

A schedule already exists with the schedule number 140520A001, create a new schedule to increase the schedule number.

ACC ERROR

Error Code 8

DESCRIPTION

The schedule file has already been successfully accepted by ACC for this Company.  This can happen when there is an issue with the ACC site returning a response.

EXAMPLE

8:  A file has already been successfully submitted for schedule 140520A001 with the name 'ef47_G00823_140520_001.xml': ef47_G00823_140520_001.xml

Call ACC and check that they did receive the message.  If so, manually move the schedule to "not yet paid" by clicking the curved arrow next to the schedule

ACC ERROR

Error Code 9

DESCRIPTION

A date field that is mandatory is empty or contains an incorrect value.  Check the value specified and adjust as required.

EXAMPLE

9:  /eSchedule/Schedule/ScheduleLine[3]/ScheduleLineClaim/accident_date This date and/or time is mandatory or contains an invalid value.

Schedule item 3 is missing the value for accident date.

ACC ERROR

Error Code 13

DESCRIPTION

A number field that is mandatory  is empty or contains an incorrect value. Check the value specified and adjust as required.

EXAMPLE

13:  /eSchedule/Schedule/ScheduleLine[2]/ScheduleLineDetails/eFormScheduleLine/claimed_distance_travelled

Mandatory number empty or invalid:  This field is mandatory or contains an invalid value.: 99.00

Schedule item 2 has a value 99.00 in the claimed_distance_travelled field.  Edit the value.

ACC ERROR

Error Code 14

DESCRIPTION

A date has failed validation.  Generally the accident date is dated before the minimum date or after today.  Check the date specified and adjust as required.

EXAMPLE

14:  /Schedule/ScheduleLine[1]/ScheduleLineClaim/accident_date Accident dates must be a least 01/01/1972: 05/01/1970

Schedule item 1 has an accident date (05/01/1970) dated before the minimum ACC date of 01/01/1972.

ACC ERROR

Error Code 19

DESCRIPTION

This is a common code where the providers contract number is not set up to bill the billing code supplied on the schedule item.  

Sometimes this happens with new clinicians and the ACC site is not updated yet.  Often this happens when contracts have the wrong contract number or the provider type is selected incorrectly.

Either:

  1. Check the contract settings in the clinician details and adjust accordingly

  2. Adjust the contract details

  3. Adjust the billing code for the item being billed

EXAMPLE

19:  /Schedule/ScheduleLine[11]/ScheduleLineDetails/service_item_code[1] Either service code or the contract number is not valid:  EPN0XX/SS

Schedule item 11 is trying to bill the SS billing code, but the contract number EPM0XX is not valid for that billing code.

ACC ERROR

Error Code 20

DESCRIPTION

The specified field does not conform to the specified structure.  Check the value specified and adjust.

EXAMPLE

20:  /eSchedule/Schedule/eForm Company/Company_gst_number This does not meet the prescribed structure required:  96-068-336

The vendors GST number, 96-068-336, is not the correct format.

ACC ERROR

Error Code 24

DESCRIPTION

The provider number for this schedule is not known by ACC.  Generally this occurs with new providers, where the eBusiness system doesn't know about the provider yet, but it could also have been incorrectly entered.  

EXAMPLE

24:  /Schedule/ScheduleLine[1]/eFormProvider/provider_acc_identifier Provider 99ABCD record is not currently active or in use:  99ABCD

Double check with ACC what the provider number should be, and check in the clinicians contract settings that it has been entered correctly.

ACC ERROR

Error Code 35

DESCRIPTION

The Company number for this schedule is not known by ACC. Generally this occurs with new Companies, where the eBusiness system doesn't know about the new Company yet, but it could also have been entered incorrectly.  Double check with ACC what the Company number should be, and check Company´s ACC settings that it has been entered correctly.
