Letter Template Displays in an Unreadable Format

Issue

When opening a letter template created by another user, the document displays in an unreadable format.

Reason

This issue typically occurs when you try to open a .docx document in Word 2003 or lower. The .docx file type was introduced in Word 2007, so these files only open in Word 2007 or newer. You need to save it as .doc, which should allow you to open the file in Word 2003 as well as newer versions.

Solution

We recommend a minimum of Microsoft Office 2007. Changing some, or all documents from .docx to .doc to support one or two users on Word 2003 is not ideal. There will potentially be formatting issues when saving from .docx to .doc, so things in the document may change visually, or stop working all together.

However, if upgrading is not an option for you, follow the steps below to save as type Word 97-2003 word document:

NoteThis would need to be done by the user who created the template on his/her computer. Then the user who only has Word 2003 will be able to open the document.

  1. Locate and open the template in your computer and click File
  2. Click Save As and select Browse
  3. Choose the location to save the document at.
  4. Modify the File name if required.
  5. Select Word 97-2003 Document as the Type to save as.
  6. Click Save
  7. Login to GPM
  8. Go to Administration >> Letter Templates
  9. Locate the template edited above and click on to upload the new version of it.
  10. Click Save
  11. Click Yes
  12. Locate the file and click Open

    Note: The upload may take some time depending on the file size and your internet connection.
  13. Once the .doc file has been uploaded, all users will be able to open it from their computers.
