System Crashes When Bulk Emailing

Issue

The system crashes when sending a personalised email to my whole database or a large number of recipients.

Reason

GPM is NOT designed to bulk emailing. You need to use the merge action "Create an Empty Email" so you can restrict the maximum recipients per email and send them in blocks.

Solution

Follow the steps below to send emails to multiple email recipients in blocks:

IMPORTANT!

GPM is definitely NOT designed to bulk email. If your system crashes while sending emails, there is no way to trace emails sent through Gensolve Practice Manager and you will not be able to know what is sent and what still needs to be sent.

Bulk emailing could also result in your domain name being banned from sending e-mails by Amazon. For more information see: What if you get an SES probation notice for bounces

If issues persist, you can use a dedicated email marketing product like Mailchimp.

  1. Select Create an empty Email to send to all Rows as the merge action to take.
  2. Check Restrict Max Recipients Per Email? and select the number of recipients that each email will be sent to.
Note: If you try to send it to more than 50-100 email addresses, the system may stop working.
  3. Enter a Subject for the email and a Reply To email address
  4. Click Run the Merge to email (in blocks) all clients in the list.

NotePlease note that emails will only be sent successfully with the sender's email account has been configured with Microsoft Outlook. Contact your IT support for more information.
