Creating BCTI's for Commission Payments

Reason

You need to raise a BCTI (Buyer Created Tax Invoice) once a Commission payment has been made.  A BCTI arrangement occurs where both parties agree, any GST registered buyer purchasing from a GST registered seller can provide buyer-created taxable supply information (BCTI).

Note: If you are unsure that a BCTI should be raised in relation to an Expense whether it be Commission related or otherwise, it is best to contact your Accountant or Bookkeeper.  The Gensolve Support team is unable to provide Accounting or Financial advice with regards to BCTI Arrangements or when they should be used.

Create a BCTI Email Template

  1. Go to Administration >> Email Templates >> New Email Template

  2. Give the Template a name

  3. Select the Type to be BCTI

  4. Click This is the default template for this Template Type if required.

  5. Create the subject and add any Available Tags by using the   icon.

  6. Create the Body of the email, using any Available Tags by using the  icon.  (For more information on creating Email Templates please see How to Create Email Templates

  7. Click Save

Creating and Emailing  BCTI's from the Commission Batch Screen

Note: The below steps assume you have created Commission Batches.  For more information please see Managing Commissions.

  1. Go to Accounting >> Accounting Form >> Money Out >> Commission Batches
  2. Apply any filters based on:
    • Template
    • Commission For
    • Batches based on Created dates or Item Dates
    • Date From and To
  3. Click Get Data

4. To email any BCTI's listed in the Commissions Batch table >> click Bulk Email BCTI.
5. The Include? column will now appear.  
6. Review the list of Commission Batches and remove/include any batches to be emailed.
7. Click on Email BCTI's
8. The Attach Commission Report as Excel will be ticked by default >> Untick it if you do not wish to send this report with the BCTI.
9. The number of Invoices being sent will be displayed.  Note: If the Commission Batch has been previously emailed as a BCTI you will be asked if you wish to resend it.   Alternatively remove it via the Include? column after hitting Cancel

10. The Default BCTI Email Template will appear.  Change this if required.

11. Click View Emails


12. The emails to be sent can now be reviewed, the BCTI's and the Commission Batch report will be attached.


13. Click Send Emails


14. Confirm the sending of the emails by clicking Yes at the pop up screen
15. The Emails Send Completed pop up will then appear >> click OK.  The BCTI's  and Reports have been sent.

Other areas in which a BCTI can be Created

Note: BCTI's are not only restricted to Commission based Expenses.  Any Expense can be created into a BCTI should it be required.  The below shows how to create BCTI's from the Expenses screen.  Sending BCTI's from the Expenses screen however will NOT attach a Commission Batch Report.  If a Commission Batch Beport needs to be sent the BCTI should be crested via the Commissions Batches screen.

  1. Go to Accounting >> Accounting Form >> Money Out >> Expenses
  2. Use the necessary filters below to find the Expense you are looking for
    • Invoiced Date From and To
    • Show Expenses Due to Pay
    • Creditor
    • Expenses Ledger
    • For Site
    • Invoice No
  3. Click Get Data
  4. Click Email BCTI's
  5. The Include? column will now appear.  Untick any Expenses that are NOT to be emailed as BCTI's
  6. Click Email BCTI's

7. the Bulk Email BCTI Invoices window will appear

8. Select the BCTI Email Template if not using the default listed

9. Click View Emails


10. The emails and attachments will appear for review >> Click Send Emails once your review is complete.


11. At the Confirm E-mail pop up click Yes


12. The Emails Send Completed pop up will appear >> Click OK.  The BCTI's have now been emailed.
